Job Summary
To be successful as a Order Booking Agent you must be able to work with minimal supervision and have excellent customer service skills. Additionally, you should be able to up-sell and have excellent knowledge of deals and savings available to customers.
Primary Responsibilities
- Assisting and advising customers who may be choosing personalized product from a variety of print and signs options available online www.artsnprints.com.
- Making customized product order bookings for customers based on their various requirements and budgetary allowances.
- Checking the availability of product or service on the customers’ desired delivery dates.
- Helping plan booking itineraries by suggesting economical ,budget and design of interest.
- Inform customer of prices and collect online payment.
- Take down customer information in order to process order.
- Complete fields such as name, address, contact details, e-mail, account number, item number, price, and any sales or promotions.
- Processing payments and sending confirmation details to customers.
- Input data into computer.
- Sorting out any issues that may arise with bookings print or signage products or service.
- Selling and promoting product or services.
- Answering any questions customers might have about the order booking process.
- Up-selling, when appropriate, by informing customers of additional services or special packages.
- Providing support to customers who may need to amend or cancel a booking.
- Set up payment plan if necessary.
- Ensure payment information is accurate.
- Process order and distribute receipt.
- Input orders into database.
- Inform customer of expected delivery date.
- Follow up on orders.
- Handle complaints about unfulfilled orders.
- Check inventory control.

Role Purpose : To co-ordinate and support the organization’s Newtech in custom order bookings and service of printing and signages. This will involve working together with sales department heads, managers, internal teams and departments, customer service and finance teams to ensure smooth management, delivery, data and support for our commercial programmers through the central online booking system.
- To work with colleagues in the Business Development, Sales and Quality (BSQ) team and various NDP Programme teams to plan and provide excellent support to internal production team and operation managers in setting up new customer and products, processing bookings and managing order booking or cancellations
- To work closely together with BSQ colleagues to design and implement the further roll-out of the new booking system and its accompanying processes and policies.
- To provide ongoing training to external sales partners and internal programme managers in using booking system and working together effectively with other members of our wider bookings team.
- To manage the day-to-day relationship with our external customer service team, monitoring the quality of their call handling, volume of calls, key issues and other agreed metrics, and training requirements.
- To provide initial and ongoing training and support to our customer service team on the use of our new booking system.
- To provide first-line support to Organization staff and second-line customer support for external sales partners, working together with our internal programme manager teams and the customer service team.
- To work together with our finance and customer service teams to identify and support outstanding customer transactions and invoicing.
- To monitor custom or personalized bookings, checking take up and fill rate, liaising with internal sales managers to maximize attendance rate.
- To support Organization staff in generating reports, producing specific reports when required.
- To log and identify further desired improvements to the booking system and accompanying policies and processes from internal and external stakeholders, and work with colleagues across BSQ and other programme teams to prioritize change requests and system improvements.
- To work with BSQ colleagues to test and quality assure improvements, fixes and changes to the booking system and surrounding procedures.
- To carry out regular audits of data within the system to ensure data quality standards are being met, including compliance to relevant legislation i.e. Data Protection Act | intellectual Property |
- To work with the Project Manager (BSQ) and IT Service Manager in establishing and monitoring the ongoing Service Level Agreements with our customer service team and bookings system developer.
Order Booking Agent Requirements:
- High school diploma.
- Certified associate or certified counselor, preferred.
- Substantial experience of working in an office environment (essential) Experience working in sales or public relations, preferably in the hospitality or custom production industries.
- Demonstrable experience of providing excellent customer support and working with customer service team (essential) Customer-service experience. Demonstrable ability to work independently (essential).
- Demonstrable experience coordinating technical product bookings/planning (essential)
- Experience of communicating with, and coordinating a variety of internal staff (essential) Excellent written and verbal communication skills.
- Administering and supporting commercial transactions, including processing payments and invoices (essential) Multi-tasking and time-management skills, with the ability to prioritize tasks.
- Experience of working with online systems e.g. booking systems, CRM or database systems (essential) Proficient in Microsoft office suite word, Excel, Sheets.
